Refund Policy

This Refund Policy explains the terms and conditions for refunds across everything Whale Task provides — custom software and digital services, as well as our apps and digital products (including in-app purchases, coin or credit packages, virtual items, and subscriptions). It also explains how payments and refunds are processed through our payment gateway and app-store partners.
1. Overview
Whale Task provides (a) custom software development and digital services delivered under a project agreement, and (b) apps and digital products purchased directly inside our apps or through app stores. Different refund rules apply to each, as set out below. Where a signed project agreement or order form exists, its terms apply together with this policy, and the agreement prevails in the event of any conflict.
2. Definitions
- “Services” means custom software, web and mobile applications, ERP, data and analytics, and related work delivered for a client.
- “Apps & Digital Products” means our applications and any digital items purchased within them, including in-app purchases, coin or credit packages, virtual items, and subscriptions.
- “Payment Gateway” means the authorized third-party payment service provider that securely processes your transactions on our behalf.
3. Payments and payment gateways
Payments are processed securely through our authorized payment gateway / payment service provider. We do not store your full card details — these are handled by the gateway under its own terms and security standards (such as PCI DSS). By completing a payment you also agree to the applicable payment gateway's terms and conditions.
Purchases made through the Apple App Store or Google Play are processed and refunded by those platforms under their own policies. Such refund requests must be submitted directly to the relevant store, and we are not able to issue refunds on their behalf.
Payment gateway, transaction, currency-conversion, and bank fees are charged by third parties and are non-refundable, even where the underlying amount is refunded.
4. Refunds for services (custom projects)
Projects typically begin with a deposit and are billed across agreed milestones. Each milestone payment covers work planned or completed for that stage.
- If we are unable to start your project, the deposit is fully refundable.
- If a milestone has not yet started, amounts paid for that milestone are refundable.
- Partially completed work is refunded on a pro-rata basis for the portion not yet delivered.
- Work completed, delivered, or approved, and time already spent, are non-refundable.
5. Refunds for apps & digital products
Digital products are delivered instantly and are generally non-refundable once purchased, credited, unlocked, or used. This includes coin and credit packages, virtual items, and unlocked features.
- Coins, credits, or virtual items that have been spent or partially used are non-refundable.
- Duplicate or accidental charges that have not been consumed may be refunded on request.
- If a digital product is faulty or is not delivered due to our error, we will restore it or refund it.
6. Subscriptions
Subscriptions renew automatically until cancelled. You may cancel at any time to stop future renewals; cancellation takes effect at the end of the current billing period. Fees already paid for the current period are non-refundable except where required by law, and we do not provide partial refunds for unused time.
7. Eligibility and conditions
- Refund requests must be made within 14 days of the transaction, unless a longer period is required by law.
- The transaction must have been made by you or with your authorization.
- We may request proof of purchase and verify your request before approving it.
8. How to request a refund
Email contactus@whaletask.com with your name, the relevant app or project, the transaction or invoice number, the date, and the reason for your request. For purchases made through an app store, please request the refund directly through Apple or Google. We aim to review eligible requests within 7 business days.
9. Refund method and processing time
Approved refunds are issued to the original payment method through our payment gateway within 14 business days of approval. The time for funds to appear depends on your bank or card issuer and is outside our control. Refunds are made in the original transaction currency; we are not responsible for exchange-rate differences or third-party fees.
Please note: a payment processing fee of THB 20 is deducted from each approved refund to cover payment gateway charges. The amount returned to you will therefore be the price paid minus THB 20 (and minus any applicable app-store or other third-party fees). This processing fee is non-refundable.
10. Non-refundable items
- Work that has already been completed, delivered, or approved, and time already spent.
- Digital items, coins, or credits that have been used, spent, or partially consumed.
- Third-party costs already incurred (licenses, hosting, domains, app-store and payment-gateway fees).
- The THB 20 payment processing fee deducted from each refund.
- Promotional, discounted, bonus, or free credits and items.
- Purchases made outside the eligibility window described above.
11. Fraud, abuse, and our rights
We may decline, withhold, or reverse a refund, and suspend or close an account, where we reasonably suspect fraud, abuse, breach of our terms, or where a product has already been consumed. Repeated refund requests or abuse of this policy may result in loss of access to our apps and services.
12. Chargebacks and disputes
If you believe a charge is incorrect, please contact us first so we can resolve it quickly. Filing a chargeback or payment dispute without contacting us — particularly for digital products that have already been delivered or consumed — may be treated as a breach of these terms. We reserve the right to contest illegitimate chargebacks, recover associated fees and costs, and suspend access pending resolution.
13. Limitation of liability
To the maximum extent permitted by law, any refund is limited to the amount actually paid to Whale Task for the affected service or product, and we are not liable for indirect or consequential losses. Nothing in this policy excludes or limits any rights you have under applicable consumer-protection law that cannot be waived.
14. Changes to this policy
We may update this Refund Policy from time to time. The latest version will always be available on this page, with the “last updated” date shown above. Continued use of our apps and services after changes take effect constitutes acceptance of the updated policy.
